Automated Auditors offers Tax ID / TIN / EIN validation services in batch mode for small to large-sized files (over 100,000 records). Avoid costly IRS fees for invalid or incomplete payee information – catch errors early. The most common reasons why a TIN may fail verification with the IRS are:
- Invalid Tax Identification Number (EIN, SSN, TIN)
- The name that appears in your payee file does not match the name the IRS has on record.
- The business name in your payee file does not match the legal business name.
Automated Auditors has partnered with America’s largest privately-owned EIN data vendor (over 24 million Tax IDs) to offer the most accurate and complete level of EIN and Tax ID matching. Using our fuzzy matching software, we merge your vendor, supplier, or payee file with IRS records via the Tax ID, TIN, or EIN number. We then compare the information in your file with what is on record in our privately-owned data base and with the IRS; our software compares names, addresses, emails, phone numbers, and contact information to determine the accuracy of the match. Most Tax ID validation services provide a match/no match or pass/fail determination, but we have implemented advanced fuzzy-matching algorithms to score the matches on a scale of 1 to 10, with 10 being an exact match, and 1 being an unlikely match. Our matching technology employs distance functions such as Levenshtein, Jaro-Winkler, N-Gram, Generalized Edit Distance (GED), and SoundEx.
Many matching services compare the entity name exactly to the IRS records; if the name is not exactly the same, it will reject it as a no-match. For example, “Automated Auditors” and “the Automated Auditors, LLC” may return a no-match using other validation software, even if the address is the same. However, for your matching purposes, you may want to consider the two names similar enough to call it a match. Because we are not a “cookie cutter” firm, we can customize all of our TIN matching to your needs, and use every available field to match upon.
In addition, we can easily add on a duplicate vendor / payee search to cleanse your data file prior to tax season.
Tax ID Matching Examples – using fictitious data.
The TIN matching algorithm matches on TIN, name, and address at a minimum; but can handle additional fields to create a more robust and accurate matching score.
Find Missing Tax IDs
If your vendor / payee file has missing Tax IDs or SSNs, we will conduct a reverse lookup to determine the most accurate match for the individual or corporation. Using advanced fuzzy-matching, our software matches on name, address, and other contact information to populate missing Tax IDs. Avoid IRS fees for invalid or incomplete payee information (which can be up to $260 per incident) and ensure accurate payment using our Tax ID validation Services.
Add Additional Contact Information
In addition to Tax ID validation, Automated Auditors can import your Tax IDs in bulk and populate missing fields, such as name, address, phone number, contact name, and email address. By cross-referencing with Internal Revenue Service (IRS) records, we will return your file to you with the additional requested information.
Secure File Transfer
We use DropBox for Secure File Transfer, requiring all files to be password-protected prior to transfer. Our data team deletes your Tax ID File immediately after download to protect the confidentiality of your data and any Personally Identifiable Information (PII) contained therein.
